Payroll Reports
The Payroll Reports page aggregates data from salary assignments, payroll runs, and attendance records into a set of actionable reports. All reports require the payroll:view permission.
Who can access reports

Payroll Dashboard
Section titled “Payroll Dashboard”The Dashboard tab shows a high-level snapshot of your school’s payroll health:

| Total Active Staff | Count of staff with an active employment status |
| Total Gross Payroll | Sum of all earning components across all salary assignments |
| Total Net Payroll | Gross minus all deductions across all assignments |
| Staff Without Salary | Active staff who have no salary assignment — action required before running payroll |
| Runs This Year | Number of payroll runs completed in the current calendar year |
| Last Run Details | Month/year, status, and total net pay of the most recent payroll run |
Use the dashboard to spot gaps (e.g. staff without a salary assignment) before running month-end payroll.
Salary Register
Section titled “Salary Register”The Salary Register is a month-by-month breakdown of what was paid to each staff member. It is the primary export for payroll audits and accounting records.
View the salary register
Section titled “View the salary register”- Go to Payroll Reports and select the Salary Register tab.
- Choose the Month and Year.
- The table shows each staff member’s gross, deductions, LOP deduction, and net pay for that month — pulled from the locked payroll run.

Cost Breakdown
Section titled “Cost Breakdown”The Cost Breakdown report shows how total payroll cost is distributed across individual salary components.
- Select the Cost Breakdown tab.
- Choose the month and year.
- The table lists each component with its total value across all staff.
Use this report to understand the split between basic salary, allowances, and deductions — useful for budgeting and compliance filings.
Leave Attendance Report
Section titled “Leave Attendance Report”The Leave Attendance tab shows per-staff leave and attendance statistics for a given month:

Staff Payroll History
Section titled “Staff Payroll History”The Staff History tab shows a complete payroll timeline for a single staff member across all months.
- Select the Staff History tab.
- Choose the staff member from the picker.
- The table lists every payroll entry ever created for that person, with the month, gross, deductions, and net pay.
Use this view to answer staff queries about past salary payments or to audit historical changes.
Troubleshooting
Section titled “Troubleshooting”The Salary Register shows no data for a month
Section titled “The Salary Register shows no data for a month”No locked payroll run exists for that month. Start, confirm, and lock a run via Payroll Run before viewing the register.
Cost Breakdown figures don’t match the Salary Register total
Section titled “Cost Breakdown figures don’t match the Salary Register total”Ensure the same month and year are selected in both reports. If the run was reopened and re-locked after changes, the breakdown will reflect the final locked values.
A staff member is missing from the Leave Attendance Report
Section titled “A staff member is missing from the Leave Attendance Report”The report only includes staff who have at least one attendance record in the selected month. Staff added after the month ended or with no attendance data will not appear.
Staff History is empty for a new staff member
Section titled “Staff History is empty for a new staff member”Payroll runs only create entries for active staff at the time the run is started. If the staff member was inactive or had no salary assignment at that point, they will have no history.
