Enter Grades
Once an assessment exists, staff with the Grades — enter permission can record student scores. Grades are saved privately first and then published separately when you are ready to make them visible to students and parents.
Entering grades (bulk)
Section titled “Entering grades (bulk)”The bulk entry sheet is the fastest way to mark a whole class at once.
-
Open the assessment and click Enter Grades, or navigate to School → Enter Grades and select the assessment from the list.
-
The page loads a roster of all enrolled students for that assessment’s class. For assessments without a specific class, students from all enrolled sections appear.
-
Type each student’s score in the score column. Scores must be between 0 and the assessment’s max score.
-
Click Save All to commit all scores at once.
As soon as scores are saved, Premeena automatically:
- Computes each student’s percentage —
(score ÷ max score) × 100, rounded to two decimal places. - Looks up the student’s grade letter from the organisation’s default grade scale.
- Evaluates pass / fail — using the assessment’s passing score threshold if set, otherwise the grade scale’s passing flag.
- Recalculates the student’s term summary (overall average, GPA, pass/fail counts) and their section rank within the class.
Editing a single grade
Section titled “Editing a single grade”To correct one score after the sheet has been saved:
- Reopen the grade entry sheet for the assessment.
- Update the score inline for the relevant student.
- Click Save All (or save the individual row if the UI supports it).
Publishing grades
Section titled “Publishing grades”Entering a score saves it internally — students and parents cannot see it until you explicitly publish it.
-
On the grade entry sheet, tick the checkboxes next to the students whose grades you want to release, or use Select All.
-
Click Publish.
-
Confirm the action. Published grades become immediately visible to the relevant students and parents.
Locked grades
Section titled “Locked grades”When an academic year is closed, every grade record for that year is permanently locked. Locked records cannot be edited through the grade entry sheet.
If a locked grade needs to be corrected:
-
A user with the Academic Override permission opens the student’s grade record.
-
Clicks Unlock and types a written justification explaining why the locked record needs to change.
-
The record is unlocked and can now be edited normally. The unlock action and justification are permanently recorded in the audit trail.
