Manage Campus

The Campus module is a single place to map out every physical space in your school — from the buildings and floors down to individual rooms — and then track what’s inside those rooms: equipment, open maintenance issues, and bookings.

Go to your school and click Campus in the sidebar. The dashboard shows:

  • Stats strip — a live count of buildings, floors, rooms, total capacity, and rooms currently under maintenance.
  • Four tabs — Buildings, Equipment, Maintenance, and Bookings — each giving a summary view across the whole campus.
  • Open buildings view → link in the top-right that takes you to the dedicated Buildings page.

  1. From the Campus dashboard, open the Buildings tab and click Add Building (or go to Campus → Buildings and click the same button).

  2. Fill in the form:

    FieldRequiredNotes
    NameYese.g. Main Block, Science Wing
CodeYesShort uppercase identifier, e.g. MB, SW-1. Must be unique.
    DescriptionNoFree-text notes about the building.
    Year BuiltNoFour-digit year, e.g. 2010.
Display OrderNoControls the sort order on the campus overview. Lower numbers appear first.
    StatusYesSee statuses below.
AccessibilityNoCheck any that apply: ramp access, elevator, wheelchair-friendly.
  3. Click Create Building.

StatusMeaning
ActiveFully operational.
Under ConstructionNot yet ready for use. Rooms inside can still be added but will inherit the building’s state.
DecommissionedNo longer in use. The building and its rooms remain in history.

Open the building card and use the Edit button to change any field. You can also change the status here to decommission it.

Floors live inside a building. You must add at least one floor before you can add rooms.

  1. Click into a building from the Buildings view to open the building detail page.

  2. Click Add Floor.

  3. Fill in the floor details:

    FieldRequiredNotes
LabelYesA human-readable name, e.g. Ground Floor, First Floor, Basement.

Area (sq ft)NoTotal usable area of the floor.
Display OrderNoSort order within the building.
  4. Click Create Floor.

The floor detail page shows all rooms on that floor as cards. Use the breadcrumb to navigate back to the building.

Rooms belong to a specific floor. Each room has a type that controls which attributes you can set.

  1. Open a floor detail page and click Add Room (or use the Room button inside a building view).

  2. Fill in the required fields:

Click any room card to open the room detail page. It has six tabs:

AttributesThe type-specific and amenity fields you filled in when creating the room.
SeatingIndividual seats with type, capacity, row/column position, and student assignments.
BookingsAll bookings for this room — past, current, and upcoming.
EquipmentInventory items assigned to this room.
MaintenanceOpen and resolved issues for this room.

The header strip also shows a live class panel if a timetable class is currently scheduled in this room.

When editing a room, the Attributes section adapts to the room type. All room types also share a set of common amenities.

  • Seating Capacity
  • Desk Count
  • Desk Arrangement (Rows / Clusters / U-Shape / Pairs)
  • Board Type (Whiteboard / Blackboard / Smartboard)

Only toggle or fill in the attributes that actually apply. Empty fields are hidden on the detail page.

Equipment tracks the physical inventory inside each room — computers, furniture, instruments, chemicals, books, and more.

  1. Open a room and go to the Equipment tab.

  2. Click Add Equipment.

  3. Fill in the form:

    FieldRequiredNotes
NameYese.g. Dell OptiPlex 7080, Bunsen Burner Set
    CategoryYesComputer / Instrument / Furniture / Chemical / Book / Sports Gear / AV Equipment / Safety / Other
    QuantityNoDefaults to 1.

Last ServicedNoDate of most recent service or check.
    NotesNoAny other relevant information.
  4. Click Add Equipment.

From Campus → Equipment you can search and filter all equipment across every room in one list — useful for audits. You can filter by category, condition, or search by name, serial number, or asset tag.

Use Maintenance to log and track physical issues with rooms or equipment — a broken projector, a leaking ceiling, a damaged desk.

  1. Open a room and go to the Maintenance tab, then click Report Issue.

Alternatively, use Campus → Maintenance and click Report Issue from the global view.

  2. Fill in the form:

    FieldRequiredNotes
IssueYesDescribe what’s wrong, where, when, and any safety concerns.
    PriorityYesLow / Medium / High / Urgent
    StatusYesDefault is Open.
Targeting EquipmentNoPick a specific equipment item if the issue is with a piece of equipment rather than the room itself. Only shown when the room has equipment.
    CostNoEstimated or actual repair cost.
  3. Click Report.

Open an existing issue (from the room’s Maintenance tab or the global Maintenance view) and click Edit. You can change the priority, status, and add resolution notes once the work is done.

StatusMeaning
OpenIssue is logged and waiting to be addressed.
In ProgressSomeone is actively working on it.
ResolvedFixed. Add resolution notes to describe what was done.
CancelledLogged in error or no longer relevant.

LowMinor cosmetic issues or non-urgent requests.

Bookings let you reserve a room for a specific date and time — for a class, exam, event, meeting, or maintenance window.

  1. Open a room and go to the Bookings tab, then click New Booking.

Alternatively, use Campus → Bookings and click New Booking from the global view.

  2. Fill in the form:

    FieldRequiredNotes

EndsYesMust be after the start time.
    AttendeesNoExpected number of people.
    StatusYesConfirmed or Tentative (see below).
    DescriptionNoOptional notes.
  3. As soon as you select a room and a valid time window, Premeena automatically checks for conflicts and shows any clashing bookings in real time. A green banner means the slot is free.

  4. Click Book room.

If the time window overlaps with an existing Confirmed booking, Premeena blocks you from saving a new Confirmed booking for the same room. You have two options:

  • Pick a different time slot, or
  • Change the new booking’s status to Tentative — Premeena will save it but mark it as unconfirmed.
StatusMeaning
ConfirmedRoom is definitely reserved. Conflicts with this booking block new confirmed bookings.
TentativeIntention to book — slot is held but conflicts are allowed. Confirm it before the time arrives.
CancelledNo longer active. Kept for history. Only available when editing an existing booking.

Open the booking from the room’s Bookings tab or the global Bookings view. Click Edit booking, adjust the fields, and save. To cancel, change the status to Cancelled.
