Elective Attendance
An elective group is a teaching group that cuts across your sections. The students in “Robotics — Group 1” may sit in four different homeroom sections, and a subject offered twice (Group 1 and Group 2, different teachers) is two separate groups with two separate rosters.
Neither of the class-based registers can represent that audience, so elective groups get their own: one register per group per day, with the roster taken from the students actually enrolled in that group.
You’ll find it under Elective attendance in the school sidebar (Academics), just above Student Reports.
Why elective groups have their own register
Section titled “Why elective groups have their own register”| Register | Who is on the roster | Keyed on |
|---|---|---|
| Daily attendance | Everyone in the section | Section + date |
| Period-wise attendance | Everyone in the section, for one timetable period | Section + timetable period + date |
| Elective attendance | Only the students enrolled in that group, from any section | Elective group + date |
Because the roster comes from enrollment in the group, a student sitting in a different section still appears, and a second group of the same subject never appears by mistake. Each student’s row shows their section as a label, so you can still tell them apart at a glance.
Taking a register
Section titled “Taking a register”-
Open Elective attendance from the sidebar. The page lists the elective groups for the selected date.
-
Pick the date. It defaults to today.
-
Click Mark on a group (or View if it already has a register). You’ll see every enrolled student with their section.
-
Set each student’s status — Present, Absent, Half Day, or Excused. Everyone starts as Present, so you only touch the exceptions. Add a note against a student where it matters.
-
Click Save draft to keep it editable, or Finalize to lock it.
Filters
Section titled “Filters”| Filter | What it does |
|---|---|
| Only groups I teach | Narrows the list to the groups you are the assigned teacher for. |
| Only groups scheduled today | On by default. Shows only the groups that have a timetable slot on the selected date. Clear it to reach a group that met outside the timetable. |
Groups that aren’t on the timetable
Section titled “Groups that aren’t on the timetable”A group doesn’t need a timetable slot to be marked. If you open one that isn’t scheduled on the chosen date — a catch-up session, a club that meets ad hoc, or a group you haven’t timetabled yet — you’ll see a notice saying so, and the register saves as an off-timetable session.
When the group is scheduled, the register records which period it came from and shows the time in the header.
Draft and finalized
Section titled “Draft and finalized”| Status | What it means |
|---|---|
| Not marked | No register exists for that group on that date yet. |
| Draft | Saved and still editable. Come back and change it any time. |
| Finalized | Locked. The rows are read-only until someone reopens it. |
Finalizing saves whatever is on screen and then locks it, so you don’t need to save first. To correct a finalized register, click Reopen — it returns to Draft and becomes editable again. Every save, finalize and reopen is recorded in the audit log.
Who can mark what
Section titled “Who can mark what”| Who | What they can do |
|---|---|
| The group’s assigned teacher | Mark, finalize and reopen that group’s registers. |
| Staff with manage student attendance | Mark, finalize and reopen any elective group in the school. |
| Staff with view student attendance | See any elective register, read-only. |
| Everyone else | No access. |
A teacher without school-wide attendance permissions always sees just their own groups, whether or not the “Only groups I teach” filter is ticked.
Before you start
Section titled “Before you start”Elective attendance reads straight from your electives setup, so a group only appears once it exists and has students:
- The offering and its group are created under Electives.
- Students are enrolled into the group (by an admin, or by the students themselves if self-selection is open).
- The group has a teacher assigned, if you want that teacher to mark it.
A group with no enrolled students shows an empty roster and nothing to save.
