What is report card software?

Report card software keeps students' marks through the term and turns them into graded report cards automatically. The school defines its grade scale, how each kind of assessment is weighted and how terms combine into a year result. Teachers enter raw marks. The software works out percentages, grades and totals, then prints the cards.

Most schools start with one spreadsheet per subject and a Word template per class. That holds up until term-end. Marks arrive in different layouts, someone applies the grade table by hand, a "best three of five tests" rule is used in one section and forgotten in the next, and the office retypes the same names into dozens of templates. Every copy is a chance for a mistake that reaches parents. A gradebook with every mark in one place, and the rules written down once, takes the copying out.

Grade scales in your format

Build letter, numeric, standards-based or pass/fail scales. Each band is a percentage range with a label, a pass flag and an optional grade point, so 91 to 100 prints as A1 worth 10 points. Set a school default and override it for any class.

Grading conventions, CBSE included

Apply a whole convention to every term of a class in one step: India's CBSE pattern, two US styles, UK coursework and exam, Chile, Germany, France or pass/fail. Map each share to your own exam types, or build your own split.

Weighted exam types

Each exam type takes a share of the term, such as periodic tests 20%, notebook 10% and term exam 70%. Marks combine as total points, a simple average or a weighted average, and best-N or drop-lowest-K rules make 'best 3 of 5 tests' a setting, not a formula.

Term weights for the year result

Decide how much each term counts toward the final result: 50/50 for two semesters, or 30/30/40 for three terms. The year ledger only saves when the terms add up to 100, and year report cards show every term beside the overall grade.

Marks entry built for teachers

Teachers pick a section, term, subject and assessment, then type each score out of the paper's maximum. The grade from your scale appears beside it, with an optional feedback note per student. Marks stay hidden from families until published.

Publish to students and parents

Publishing shows marks in the student portal and on the parent dashboard, with an in-app notification, a web push and an email. Corrections after that reach families straight away, and saves and publishing are recorded in the audit trail.

Print-ready report card PDFs

A cover page in your school's colours and logo, then a marks page: student details and guardians, each term's exam-type scores, overall percentage and grade per subject, a grand total, and parent and principal signature lines. A last page holds the grade key and teacher notes.

A whole section in one PDF

Download every student's report card in a section as one combined PDF, ready to print. It builds in the background with a progress bar, so the office keeps working. Single cards can be previewed in landscape or portrait first.

Transcripts and certificates

Issue transcript PDFs with a serial number that cover several years term by term: marks, percentage, grade, GPA and pass or fail per subject. A certificate designer builds templates with merge fields such as student name and class, then generates PDFs.

How report cards work in Premeena

  1. Set the grade scale. Add your bands with pass marks and grade points and make one scale the school default (see grading settings).
  2. Define exam types and the grading scheme. Create exam types such as Periodic Test and Term Examination. For each class, set term weights and each exam type's share and rule, or apply a convention, then copy it to other classes. See the grading scheme docs.
  3. Add assessments and exams. Class tests are single assessments. Term exams run through exam management, and every paper lands in the right exam type.
  4. Teachers enter marks and feedback in Enter Marks (see entering grades).
  5. Review and publish. Publishing notifies students and guardians.
  6. Generate report cards. Pick the year, section and terms, preview, save your school colours, and download one card or the whole section (see the report card docs).
  7. Close the year. Promotion rules (minimum attendance, minimum overall score, optionally a pass in every core subject) decide who moves up. Override individual students and promote the rest in bulk.

Who uses it

  • Principal or owner: sets the grading rules once, sees results for every class, and decides when marks are published.
  • Exam coordinator or office: sets up exam types and weightings, spots missing marks before term-end, and prints report cards a section at a time.
  • Teachers: enter marks and feedback for their subjects and see the grade worked out as they type.
  • Parents and students: see published marks in the parent and student portal on any phone browser, with a notification when results are out.

Report cards for CBSE, ICSE and state-board schools

Indian boards set their own marks splits and grade bands and revise them from time to time, so check your board's latest circular before you configure anything.

CBSE classes 9 and 10: 80 plus 20

For most subjects, CBSE divides 100 marks into 80 marks for the written year-end exam (the board exam in Class 10) and 20 marks of internal assessment run by the school: periodic tests plus work such as notebook submission and subject enrichment activities. Co-scholastic areas such as art education and health and physical education are graded separately.

The nine-point grading scale, A1 to E2

The nine-point scale from CBSE's CCE years is still the reference behind the CGPA × 9.5 conversion in our CGPA to percentage calculator. The uniform report card scheme CBSE introduced in 2017–18 switched to an eight-point version, with a single E band for 32 marks and below.

NEP 2020 and the Holistic Progress Card

The National Education Policy 2020 asks schools to move from marks-only report cards to a Holistic Progress Card (HPC): a 360-degree, multidimensional record of a child's progress that adds self-assessment, peer assessment and parents' input to the teacher's view. PARAKH, the national assessment centre set up under NCERT, has published HPC templates for the earlier school stages, and report cards are moving toward this competency-based model.

ICSE and state boards

CISCE (the ICSE board) and the state boards publish their own exam and internal-assessment splits, pass marks and bands. Premeena hard-codes none of them: the grade scale and grading scheme take whatever your board uses.

What Premeena supports today

You can enter the CBSE bands (A1 to E, or A1 to E2) as a grade scale with grade points, and apply the built-in India — CBSE internal and board convention to a class. It splits each term into periodic tests (10%, best three count), other internal assessment such as notebook work (10%) and the written exam (80%); change any share to match your school. Premeena prints one clean report card layout with your logo and colours. It doesn't ship board-prescribed templates or an HPC template yet.

What Premeena doesn't do (yet)

  • Board-prescribed formats: no official CBSE, ICSE or state-board template and no HPC template yet. Every card uses Premeena's layout.
  • Co-scholastic and attendance blocks: the card has no separate co-scholastic grades, discipline grade or attendance summary. Attendance is tracked in attendance management, with monthly views per class.
  • An overall remarks box: teacher comments come from the feedback note on each mark and print on a Teacher notes page. There isn't a single class-teacher remark field yet.
  • Report card PDFs in the parent portal: parents see published marks, but staff download the PDF. Print it or email it.
  • SMS or WhatsApp result alerts: these aren't available yet. Notifications go out in-app, by web push and by email.

Does Premeena print the official CBSE report card format?

No. Premeena uses one clean report card layout with your logo, colours and grade scale. It doesn't include board-prescribed templates or the NEP Holistic Progress Card yet.

Can different classes use different grading scales?

Yes. Set one school default and override it for any class. Primary classes can use a letter or standards-based scale while classes 9 and 10 use A1 to E.

Can teachers add remarks to report cards?

Teachers can add a feedback note to each student's mark. Those notes print on the report card's Teacher notes page, grouped by term and subject. There is no separate overall remark box yet.

How do parents see results?

When marks are published, students and guardians get an in-app notification, a web push and an email. Parents see the latest result with subject percentages on the parent dashboard, which works in any phone browser and can be installed to the home screen.

Can a report card be corrected after it is issued?

Yes. Staff with permission correct the mark and download the card again. Families see the corrected mark straight away and the save is logged. Marks in a locked exam can only change after an academic override with a written reason.
