What is a student attendance management system?

A student attendance management system is software that replaces the paper register. Teachers record each student as present, absent, late or excused for every day or period. The system stores the record, turns it into attendance percentages, alerts parents about absences and keeps a history of every correction.

Most schools still run on one register per section and a clerk who tallies it at month-end. A register can't tell a parent that their child missed school today. And when a percentage is questioned before board exams, nobody can show who changed what. Spreadsheets do the adding up, but the marks still have to be copied in from paper, usually days later.

Key features of attendance in Premeena

Daily register with draft and finalise

Every student starts as Absent, so nobody is marked present by accident, and Mark All Present flips the whole class in one tap. Save a draft as you go, then Finalise to lock the day. An owner or manager can reopen it for a correction.

Period-wise attendance

Secondary sections can switch to one register per timetable period, so each subject teacher marks their own lesson. The mode is a school default with overrides per grade or class, and a substitute can mark the lesson they cover on that day.

Elective group registers

Elective groups draw students from several sections, so they get their own register: one per group per day, with the roster taken from the students enrolled in that group. A group that meets outside the timetable can still be marked.

Face scan of the whole class

In daily-mode classes the teacher can pan a phone or laptop camera across the room instead of calling names. Enrolled students are recognised on the device and the register is pre-filled for review. Only a numeric face signature is stored, never a photo. See how face recognition attendance works.

Absence alerts to parents

When the daily register is finalised, guardians of each absent student get an email, a web push notification and an in-app alert naming the child, the class and the date. Drafts never trigger alerts, and finalising again after a correction only alerts parents of students newly marked absent.

Late arrivals from the gate

When the front desk logs a student who came in after the bell, that student is written into the day's class register as late. If the teacher hasn't opened the register yet, the mark is applied when they save it.

Leave types and notes

Staff can tag an absent or excused student with a leave type the school defines, such as Medical or Sports, and add a note. Each leave type can be set so it doesn't count against the attendance percentage, which suits school-approved events like a district sports meet.

Monthly grid and summaries

The monthly view puts a whole section on one screen: a row per student, a column per day and a running percentage. Period-wise classes get a monthly view per period, and administrators see school-wide daily and weekly summaries without asking teachers.

Staff attendance and loss of pay

Staff have their own register: present, absent, half day or on leave. Once HR locks the month, payroll works out loss of pay from it, a full day for an absence and half a day for a half day, so nobody recounts registers before salaries.

How attendance works in Premeena, step by step

  1. Pick the attendance mode. In Settings, choose daily or period-wise as the school default, then override it for any grade or class that works differently.
  2. Open the register. The teacher opens their class, and the register is already on today's date in the school's time zone. Every student starts as Absent.
  3. Mark the class. Tap Present for each student, or use Mark All Present and then change the exceptions. In a daily-mode class the teacher can instead scan the class with the camera; recognised students are set to Present and the teacher checks the rest.
  4. Record the exceptions. Students logged late at the gate already show as late. Absences can carry a leave type and a note.
  5. Save or finalise. Save draft keeps the register editable. Finalise locks it and sends absence alerts to the guardians of absent students.
  6. Correct if needed. An owner or manager reopens a finalised register, the teacher fixes it, and it is finalised again. Every save, finalise and reopen is written to the audit trail.
  7. Use the numbers. The monthly grid, the parent portal and term attendance on report cards all read from the same registers, so there is no tallying at month-end.

Who uses it

  • Owner or principal: sees school-wide daily and weekly summaries and at-risk flags, and reopens a register when a correction is justified.
  • Class and subject teachers: mark their own registers, daily or per period, from a phone or laptop. A substitute marks the lesson they are covering on that day.
  • Front desk: logs late arrivals and early departures at the gate. Late arrivals reach the class register without anyone walking to the classroom. See front desk and gate passes.

The 75% attendance rule, report cards and promotion

In India, boards such as CBSE expect students to have around 75% attendance to sit board exams, and many schools apply a similar line for promotion. Premeena doesn't hard-code any board's rule, but it gives you what you need to apply your own:

  • Term attendance on report cards counts finalised registers only, and a late mark counts as attended.
  • Absences tagged with a leave type that is set not to affect attendance don't reduce the percentage.
  • Promotion rules can include a minimum attendance percentage. A student below it is flagged for retention with the reason shown, and the school can override the result.
  • Students below 75%, or below your promotion rule's minimum, are flagged as at risk, and so are students whose attendance falls sharply between terms.

Teachers can also switch their own screens to Hindi, Spanish or French. Schools elsewhere, with a 90% target or a persistent-absence threshold, use the same registers and percentages.

Staff attendance that feeds payroll

Staff attendance lives on its own month grid under HR: present, absent, half day or a leave type for each working day, with leave balances alongside. At month-end HR locks the attendance month, and the payroll run picks up loss of pay from absences and half days, so deductions match the register. What Premeena doesn't do (yet)

  • No biometric or RFID devices. Premeena doesn't connect to fingerprint machines or card readers. The face scan uses the phone or laptop the teacher already has.
  • No SMS or WhatsApp alerts. Absence alerts go by email, web push and in-app notification, to guardians who have a parent login.
  • Parents can't submit leave requests in the app yet. Parents tell the school as they do now, and the teacher marks the day Excused with the right leave type.
  • No alert for each missed period. Alerts are sent when the daily register is finalised. Period-wise registers don't send a separate alert per lesson.
  • Face scan works on daily registers only. Period-wise and elective registers are marked by hand.
  • No offline marking. The register needs an internet connection to save.

What is a student attendance management system?

Can attendance be corrected after it is finalised?

Yes. An owner or manager reopens the register, the correction is made and the register is finalised again. Each step is recorded in the audit trail, and only parents of students newly marked absent are alerted.

How is the attendance percentage on report cards calculated?

It counts the finalised registers in the term. Present and late count as attended, and absences tagged with a leave type that doesn't affect attendance are not held against the student.

Does it track staff attendance too?

Yes. Staff have their own month grid under HR (present, absent, half day or leave) with leave types and balances. A locked attendance month feeds loss of pay into the payroll run.

Is the attendance system free?

Yes. Attendance, including the face scan and parent alerts, is part of Premeena's free core platform. There is no per-student fee and no credit card needed.
