What is a student gate pass?

A student gate pass is a written permission that lets a student leave school during school hours. It records who the student is, why and when they are leaving, who is collecting them, and who approved it. The gate guard checks it before opening the gate, and the school keeps a copy.

Schools issue gate passes for medical appointments, a student who falls ill, family emergencies, inter-school competitions, and half-days agreed with parents. Most passes are routine. The pass earns its place on the rare day something goes wrong: it records who took the child, when, and on whose authority.

Student gate pass format

Print this as a two-part slip. The top part travels with the student and is collected by the gate guard; the counterfoil stays in the office book. Number the slips before they are used, so a missing number is noticed.

Copy the pass number, student name, collected by, approved by and time out onto the counterfoil. If the student is coming back, add a Time returned line to the counterfoil and fill it in at the gate. At the end of the day, match every counterfoil with a slip returned by the guard. A missing slip means a student left without a check, or a pass went unused. Both are worth knowing the same day.

Visitor pass format

A visitor pass goes to anyone entering who isn't a student or staff member: parents coming for a meeting, vendors, inspectors, repair crews. The visitor carries or wears it and hands it back at the gate on the way out, which is how the guard knows they have left.

Late-coming slip format

A late-coming slip lets a student into class after the bell and makes sure the late mark reaches the register. Keep the slips as a numbered pad at the gate or in the office, and make sure the class teacher sees them before the daily register is finalised.

Good-practice checklist

A good format still fails if the habits around it are loose.

  • Check identity against the list: compare the adult at the gate with the authorised guardians listed in the student's file, and look at a photo ID. A familiar face is not a check.
  • Confirm before releasing a child to anyone unlisted: call a guardian on the number in the school record, not a number the visitor offers, and write down who you spoke to and when.
  • Record consent for students leaving alone: if your policy allows older students to leave on their own, note which guardian agreed and how.
  • Log the time the student actually left: the guard writes it at the gate, rather than the office filling it in ahead of time.
  • Tell the class teacher: so the register and the teacher's head count match for the rest of the day.
  • Keep the counterfoil: file counterfoils by date for at least the academic year, or longer if your board or state expects it.
  • Record only the last four digits of ID numbers: a gate book is read by many people in a day.
  • Review open passes at the end of the day: a student marked as returning who hasn't come back needs a phone call before the office closes.

Common mistakes

  • Pre-signed blank passes left on the desk, so anyone can fill one in.
  • 'Father' written in the relation box without checking who the person actually is.
  • Time out written in advance instead of when the student leaves.
  • Verbal permission for a student to leave alone, with nothing written down.
  • Late-comers recorded at the gate but never reported to the class, so the register shows them absent all day.
  • A visitor register with no time-out column, so nobody knows who is still inside.

  • Late arrivals are written into that day's class register as Late, with the time and reason, through the same records used for attendance.
  • Visitors get a printed badge with their photo, and only the last four digits of their ID are kept.
  • Reception and gate staff can be given only front-desk permissions through custom positions, with no access to fees or marks.

What is still manual

  • Staff record every pass and crossing on screen; there is no card, QR or biometric scanning.
  • There is no printed gate pass slip yet. If your guard works from paper, print the format above and use Premeena as the register.
  • Guardian confirmation is by phone call or email; SMS and WhatsApp aren't available.
  • A gate pass doesn't change the attendance register, so the class teacher still needs to be told.
